Three stages of a renovation quote: indicative, preliminary and final

A guide without a visit, a preliminary quote after measurements, a final one after the working design: each has its own accuracy. How not to mistake a guide price for a commitment.

How does an indicative quote differ from a final one?

An indicative quote gives a range by floor area and finish level; a final quote fixes the price of every item on the basis of the design and measurements. The first is for grasping the scale of the budget, the second for signing the contract.

Between them sits the preliminary quote. These are three versions with different accuracy: the more the contractor knows about the property, the narrower the price range. The most common mistake is to treat a guide figure given on the phone as a commitment, and not every contractor rushes to correct that.

In luxury work the gap between versions is greater than in ordinary renovation. There are more bespoke solutions (furniture to drawings, stone, hidden doors, lighting) and more items that cannot be priced per square metre. So knowing which version you are on matters more than the figure itself.

What do you get without a site visit?

Without a visit you get a range per square metre, not a quote. It is a conversational guide, and that figure should not be carried into the contract.

At BCN YARD such guides are public and exclude VAT: Premium from 1 000 €/m², Luxury from 2 000 €/m², Signature from 3 000 €/m². The word «from» is honest here: the lower bound describes a minimum set of solutions, not a typical Eixample flat with high ceilings, hydraulic tile and services that have to be replaced entirely. What each level includes and how they differ in scope is covered in our separate price guides.

What a contractor looks at when giving a range over the phone: floor area, age of the building, scope (from scratch or partial) and material level. What they do not know: the condition of risers and wiring, actual heights, what is under the plaster and the floor, which solutions you want. So the gap between final cost and such a guide can be considerable, and it depends on the property.

What does a preliminary quote after measurements give you?

A preliminary quote gives a price by chapter with real quantities, but still with assumptions about materials and hidden work. It appears after the visit, measurements, photos and a look at the services.

What it contains: measurements by room, a list of works by chapter (demolition, partitions, services, screeds, floors, walls, ceilings, doors, bathrooms, kitchen), material levels by category, duration and order of work. What remains an assumption: items where the material has not been chosen, partidas alzadas for furniture to drawings, lighting and sanitaryware, and work that only shows after demolition.

It helps to ask the contractor to mark in the preliminary quote which lines are exact and which are estimated, and what share of the budget the latter make up. The higher that share, the less reliable the total. You then see not just one sum but the structure of uncertainty, and can reduce it before signing: choose materials, open a trial hole in a wall, order a survey.

What must the final quote contain once the working design exists?

The final quote is built on the working design and the material specification, so it carries very few assumptions. Every item has a quantity, unit, price and a reference to a line in the specification.

It should come with dimensioned drawings, a memoria de calidades listing makes and formats, a schedule of works and payment stages, and a list of what is excluded from the price (furniture, appliances, art, licence fees if charged separately). Any remaining partidas alzadas need a limit and a rule for use: how much is allowed, who chooses, and what happens to the difference.

Only at this stage does it make sense to speak of an exact price. Even so, one zone remains that the design cannot cover: what appears after demolition. The contract therefore usually states how hidden works are accounted for and provides a reserve. A March 2026 guide in Barcelona Metropolitan, labelled as sponsored content, advises an extra buffer of 10 to 15 % for a renovation; treat that as an industry guide, not a rule.

How far can the final cost differ from the guide figure?

The difference depends on how much was still unknown when the price was given, and there is no honest percentage that fits every case. For a guide without a visit it is large; for a final quote with a design it is small.

Four causes of divergence. First: hidden works revealed by demolition, such as levelling a slab, replacing a riser, reinforcing a beam or treating mould. Second: owner changes, meaning a different layout, a different stone, extra sockets. Third: material choices above the level assumed in the partidas alzadas. Fourth: licence requirements that were not foreseen and delivery times that force items to change.

Separate the causes that depend on you from those that depend on the house. The first are removed by decisions before signing; the second are partly reduced by trial openings and a survey. If the quote grows once work has started, see our guide on what to do when the budget climbs mid-project.

How do you lock the renovation price into the contract?

You can only fix the price of what is defined; for the rest the contract has to contain rules. A six-point recipe.

One: price by chapter with quantities, not a single sum. Two: part of the work at a closed price (presupuesto cerrado), part measured as actually executed; which is which is written in the contract. Three: the material specification as an annex. Four: any additional work only by written change order stating price and time before it starts. Five: payment by stage tied to completed volume, not calendar dates. Six: VAT shown separately and treated the same way in every version, and the validity period of prices and the list of exclusions put in writing.

Watch the wording about a «guide quote» in the contract itself. If it stays vague («about»), the right to adjust remains with the contractor. A comparison of closed price and measured price is in a separate guide.

How does BCN YARD handle this?

BCN YARD starts with a guide by Premium, Luxury and Signature level, then makes a visit and takes measurements, and only after that states the exact price in the quote. Payment under the contract is by stages, there is one person responsible for the project, and we work in Russian and Spanish.

If you need the order of magnitude of the budget before a visit, write to us: we reply within an hour and tell you what information is needed for a preliminary quote. Our approach to quotes is described on the page on detailed estimates and planning.

Frequently asked questions

How does an indicative quote differ from a final one?

A guide figure gives a range per square metre and commits nobody. A final quote fixes the price by item on the basis of the design, measurements and material specification. The first is for gauging scale, the second underpins the contract, so a figure should not be carried from one to the other.

Can I get an exact price without a design?

An exact price for the whole job without a design does not exist: the contractor knows neither the layout, nor the materials, nor the hidden works. What is realistic is a range and, after a visit and measurements, a preliminary quote. A closed price can be given for specific, well-defined chapters.

How much can the final total differ from the guide amount?

There is no universal percentage. The difference grows the less was known when the price was given: state of the services, hidden works, your decisions on layout and materials. One 2026 guide advises a 10 to 15 % buffer for a renovation; that is an industry reference, not a rule.

How do I lock the renovation price in the contract?

Attach the final itemised quote and the material specification, state which works are at a closed price and which are measured, allow extra work only in writing with price and time, tie payment to stages, and record VAT, price validity and exclusions.
