How to make meeting rooms private
A meeting room's privacy depends on a wall to the slab, a dense door and no flanking paths for sound: over the ceiling, through ventilation and via socket boxes. A thin partition up to a suspended ceiling will not hold a conversation however good it looks.
What is done. Meeting room walls run up to the structural slab, not just to the suspended ceiling, filled with mineral wool and double boarded. The door is solid, with perimeter seals and an automatic drop seal. Ducts pass through silencers so sound does not travel by ventilation. Sockets on adjoining walls are not placed back to back. Glass, if needed, is double with different thicknesses, and film or blinds block sightlines.
As a reference, law offices are designed with wall insulation in the order of 45 to 50 dB Rw, and higher for rooms with especially confidential conversation. That is practice, not regulation; exact values are set in the brief. A sound masking system is also installed, adding a steady background noise in the corridor.
What acoustics you need between offices
Between offices you need insulation that makes normal speech through the wall unintelligible, plus soft finishes inside to avoid echo. The two are solved together.
Insulation. Partitions with double boarding and wool, to the slab. A concrete ceiling, or a suspended one weighted and filled with wool so sound does not pass to the next office through the void. Doors with seals. A floor with a resilient underlay if footsteps carry to the level below; for an office in a residential building this is mandatory, and the general noise requirements between spaces are set by the DB-HR document of the Technical Building Code.
Absorption inside. An acoustic ceiling or wall panels, rugs, upholstered furniture, bookcases. They reduce speech reflection and make conversations calmer. A meeting room's reverberation time is kept low so speech stays intelligible. On how to write an acoustic brief, see our guide on the acoustic brief.
Where to put the server room and how to protect it
The server room goes in a closed room with no windows and no pipes above it, with its own cooling and backup power. A small firm may only need a cabinet; a large one needs a dedicated room.
Requirements. Away from water: not under toilets or kitchen, with no pipes over the ceiling. Stable temperature: a dedicated air conditioner independent of the general climate, often redundant. UPS power and a generator connection if the firm works without breaks. Access control: lock, entry log, CCTV. Fire suppression that does not damage equipment: gas or aerosol, not water. Cabling in a structured system with spare ports.
Many law and consulting firms now keep data in the cloud and hold only network equipment in the office. But the connection line and uninterrupted power are still needed, and cabling is planned before finishes because changing it inside finished walls is expensive.
How to design reception and the waiting area
A law firm's reception should speak of reliability without raising its voice: calm materials, good light and the feeling that your matter stays between you and the firm. Here luxury means restraint.
What is used. Timber, stone, leather and fabric in muted tones. Furniture that is pleasant to touch and does not look random. A reception desk separated from the entrance and the offices: the visitor does not hear conversations and staff do not see who is waiting. A waiting area with a view of the entrance but not facing the meeting rooms. A separate entrance or a short corridor for those who do not want to wait in view.
Light is soft, with no cold lamps. Sound is absorbed by textile, ceiling and rug. No floor-to-ceiling glass between reception and the corridor where clients pass. All this is decided in the design before finishes are chosen, because layout matters more than materials.
What light is needed for screen work
Screen work needs even light without glare on the monitor and without harsh contrast with the window. For writing tasks at the desk, the benchmark in the office lighting standard UNE-EN 12464-1 is about 500 lux.
Practical moves. Fittings with diffusers or indirect light so there are no reflections on the screen. Windows with blinds or curtains to regulate daylight. Workstations at right angles to the window, neither facing nor back to it. Warm accent light in meeting rooms and reception, neutral over the desk. Control by zone and presence sensors so lights are not left on in an empty office.
A meeting room with video calls has a separate task: the participant's face is lit with soft front light, without strong shadows or backlight from a window behind. These details affect impressions more than furniture. Lighting scenes are discussed in our guide to interior lighting.
How BCN YARD runs an office fit-out
We run a law or consulting firm office as a project with one person responsible: site visit and measurements, a staged estimate, works by our own crew and vetted subcontractors, payment under contract and by stages. We communicate in Russian and Spanish and reply to enquiries within an hour.
For an office in a building with homes, we first check the permitted activity and the community's requirements, then acoustics and services, and only then finishes. The general logic of office renovation is described in our guide to renovating offices in Barcelona.
If you are planning a move, send the floor plan, the number of staff and a list of functions: meeting rooms, archive, server room, reception. From that we can quickly say what fits, what will need engineering and how the works are organised. Price is set in the estimate after a visit.
Frequently asked questions
How can I make meeting rooms in an office private?
Run walls up to the slab rather than only to a suspended ceiling, fit a dense door with seals and silencers on ducts, and avoid back-to-back sockets on shared walls. Sound masking in the corridor helps too. For especially confidential rooms a double-door lobby is fitted and any direct line to the neighbouring office is avoided.
What acoustics do you need between offices in a law firm?
As a reference, partitions in the order of 45 to 50 dB Rw, higher for especially confidential rooms, with double boarding, wool and reaching the slab. Inside, soft finishes avoid echo. This is practice; exact values are set by the design.
Where should a server room go in an office?
In a closed room with no windows or pipes overhead, with its own air conditioning, UPS power, access control and non-water fire suppression. Cabling is planned before finishes. If a server room is needed, it does not go next to toilets or a kitchen, and cabling is planned before finishes.
How do I design reception in a prestige office?
With restraint: timber, stone, leather and fabric in calm tones, soft light, a reception separate from the entrance and offices, and a waiting area without direct sightlines to meeting rooms. Luxury here means confidentiality. Separate soft light for reception and neutral light for desks helps set the tone before the conversation starts.
